A permission row can be locked for several reasons. The hint under the row tells you which.
Before you start
- Finish Set a staff member's permissions first.
Steps
- Open the staff member's profile and expand Permissions.
- Find the locked row and read the hint under it, or tap the lock for its tooltip.

A locked row showing Included with the role - Match the hint:
- Included with [role] ("Required for [role]. Always on and can't be turned off."): the role always has it. Change the person's role instead.
- You can only grant permissions you hold yourself: ask someone who has it, or an Owner.
- Turn on [parent] first: turn on the permission above it.
- Not needed, this user approves: the person approves these items, so an approval requirement does not apply.
- View only (in the section summary): the person's role is above yours.
Tips
- Some permissions can never be given to a role and are hidden. Teachers never see My School, Billing, or Approve Communication Items; Finance never sees My Day.
- To grant Issue Refunds, Delete/Write-Off Invoices, or Add Credits, you must hold it without an approval requirement.
- To grant Approve Billing Requests, you must hold it, and none of your own refunds, deletions, or credits may require approval.
FAQ
- Who can change anything? Owners can grant every permission.
