Understand the billing rate types

Every rate has a type. The type decides where it can be used and how it affects the family's balance.

Steps​

  1. Open Manage Billing Rates and click each type chip to see the rates of that type.

  2. Use this list to choose the right type:
    • Tuition: the base charge. A Recurring Tuition schedule needs at least one tuition or add-on rate, and an invoice can hold only one tuition rate.
    • Add-ons: extra recurring charges, such as before-care or meals.
    • Extras: one-off items. Staff invoices can use only Extras and Discounts.
    • Discount: a flat amount or percentage off.
    • Scholarship: an amount paid by someone other than the family. It reduces what the family owes.
    • Voucher: a government or program subsidy, such as VPK. Also reduces what the family owes.
    • Enrollment: registration fees sent with Send Registration or registration packets.

Tips​

  • Turn on Requires reconciliation for scholarships, vouchers or payroll deductions you expect to be paid later by an outside funder. Each invoice line then shows Expected, Received and Remaining until you reconcile it.
  • A scholarship or voucher cannot be billed on its own; add it next to a tuition or add-on rate.
  • Late fees, credits and payroll deductions are created by the app, not in the rate list.
