Write off all or part of an invoice

A write-off keeps the invoice on record but clears what the family owes. These actions appear once an invoice can no longer be edited or deleted (after its due month, or once a scholarship on it has received money).

Before you start

Steps​

Write off the whole balance

  1. Open the invoice and tap ... (top right).
  2. Tap Delete (Write Off).

  3. Enter a Note ("Why are you writing this invoice off?") and tap Write Off.

Write off part of the balance (credit memo)

  1. Tap ..., then Edit (Partial Write Off).
  2. On Add Credit Memo, check the Balance, enter the Amount to reduce, and a Note.
  3. Tap Submit.

If it needs approval​

Both actions follow the Delete/Write-Off Invoices approval setting. If yours requires approval you'll see Sent for Approval, and the balance changes only after an approver accepts.

Tips​

  • Written-off invoices are listed under the Written Off chip in the child's Tuition Statements.
  • A credit memo can't be more than the balance.
